Getting storage under control

Our environment is getting out of control with space. We are having to add 500 gb to accommodate at regular intervals.

I think our versioning not being set globally at a low level may be a factor. No defined retention policy as well. The departments don’t audit their sites either.

What are some best practices to help clean up sites? Any scripts that have helped you reel this in? I’m also wanted to research if sharepoint had a cold storage solution.

Permission issue between Teams and SharePoint Online (also happy to give a tip!)

Hello guys,

I have the following situation:

I have a Teams with the standard permissions and also additionally a tab, which leads to a separate SharePoint Online Library, please see the screenshot: https://ibb.co/tZD0c8f

On these particular SPO library are different permissions configured, in sense of that not every user has access to the files in it.

I checked the permissions with the "Permission check option" in SPO and it says, that there are no permissions for User X. So from my understanding he/she shouldn't be able to see the files.

But still if User X is clicking on the added tab he has access to the files.

Any idea what could be the reason?
As this is might not so easy to solve I would be happy to also tip for the help :)

Create Table of Contents from Document Library

I’m a relatively novice user. I have created a document library with about 50 different files. Ideally a user would be able to select the files appropriate to them, and download from the site

Is there any way to have a table of contents automatically created as part of this download? I feel like power apps or power automate should be able to do this, but I haven’t been able to find anything with my limited knowledge.

Synced files read-only

I have a Sharepoint document library and all the sudden I can't edit in desktop programs, all files from the synced library open as read only. I've changed nothing. Wondering if things have changed or how best to achieve this type of setup.

I need co-authoring to be possible so checkout is not enabled.

I have enabled major and minor versioning as I need version history and approval.

Draft versions should be visible only to those who I approve. Everyone else with access to the library should see only the latest published version as read-only. Therefore I've set draft item security to 'only users who can edit items'.

According to this link it appears I can not have this combination of settings?

Cross tenant migration

I have a SharePoint site with around 10k files using about 400GB of data.
This site is used by a smaller company that is currently part of our larger group; but they'll be separating from the group and moving on to their own tenant.

I'm aware of The Cross-Tenant User Content Migration feature however it seems it's currently only available to Enterprise Agreement customers.

We only have Business Standard licences - What are my options to move the data across tenants?

Sharepoint / Vue.js

Hi, could anyone tell me the best way to integrate a bespoke vue.js SPA into Sharepoint Online?

I have tried SPFx but I am unsure how to publish a Vue.js app using this as there is no documentation on how to do this even though it says it is possible.

All the tutorials I have found are very out of date and do not work due to out-of-date dependencies. And most tutorials and support are aimed at React, not Vue developers.

I would love to do this but stuck and the moment and desperate for advice.

Copy folders keeping permissions

I have a team's channel with a tree structure (fortunately not so deep)
all branches have same read only permissions. Last level is divided on folder\foldermonth\subfolder
so for each "folder" i'll have 12 foldermonth, and each has like 6 subfolders with special permissoins (different security groups) and no permission inheritance.

Now, i've built entire structure with only first month, and need to duplicate subfolders in every foldermonth. My obviously first try was simply copying "foldermonth" with different name, but all "subfolders" special permissions were lost.

How i can copy with permissions?

next year i'll have to copy the entire structure (the root folder name ils 2024) for the new year
so the problem will be bgger, if i don't find a solution now.

Is there an approach to put a banner or text on homepage of our SharePoint online communication site when a document or any other page has changed?

We wanted to have an announcement section on the homepage of our SP site where it would mention above all the updates on the site like this document has recently been updated or this page has some new content something like that

Ok to use classic calendar app?

My organization is finally migrating from SharePoint 2016 to SharePoint Online. We rely heavily on SharePoint calendars. Our admin told us not to use the classic calendar app in SharePoint Online because it will be discontinued at some point. Does anyone know if this is true or when it will happen? We have a lot of work to do with the migration as it is, having to come up with a calendar alternative because someday it might go away seems like a risk I’m willing to take.

SharePoint - How to enforce users to work and save read-only documents on Sharepoint Intranet

Using SharePoint Intranet, for those read-only documents, is there a way we can make users edit and save such documents back onto SharePoint? Since these documents are read-only by nature. Users have to find a place to store when saving. We don't want them to save everywhere until cannot find those files themselves.

I make my question clearer, on the intranet, users will click on the readonly file to open on Desktop apps. When they click Save a copy, is there a way to remove the C drive or OneDrive option from there? Means leaving only with SharePoint.

Else what other ways can u suggest?

User getting unprompted access declined try again email from SharePoint

Hey all, bit of a weird one. A user just got an email that said administrator has declined access request for {employee} for access to {generic folder name}. Issue is the user dont remember requesting for access, employee didnt do it and the generic folder name dont exist in the site.

The try again link takes us to mypermissions page in SPO which i didnt know existed before. So its _layouts/15/mypermissions.aspx. Is this page legit? I cant find any info online regarding this.

Anyone else went through something like this?

Search Function Issue - Only 1 User

Have a new user that started about 2 weeks ago that cannot use the search function to the sites they have access to.

I have reindexed the site, I have removed them from the root and added them back, and I also verified they have the correct AD groups that control what they can view in SharePoint.

I checked the permissions group they are in and tested this with other users in that group and other users can search without issue.

At this point, I do not know what else I can do to fix this as we have tried different browsers, checked their O365 account permissions, I checked the site search settings, etc.

I am drawing a blank as to why they cannot use the search function in SharePoint online but others can. No matter what they search, there are no returned results.

How does Sharepoint search identifies duplicates?

My Sharepoint 2019 returns one result when search a file. There are two PDF files that has same title but different name, one is 24 pages, another is 36 pages. Sharepoint return one file and only show both after user click View Duplicates. I wonder what makes Sharepoint treats the two files as duplicates, and whether there are settings to adjust it?

Is there a way to add "Modified By" and "Created By" fields when viewing a single SharePoint Online List item?

Hello, we are looking for a way to customize a "View" page for a single item in a SharePoint Online List without using PowerApps.

You can open this 'single item' view page by going to any SharePoint Online List, right click any item, click Copy Link, then use that URL. (URL example would be like following https://meow.sharepoint.com/sites/Test/Lists/TEST/DispForm.aspx?ID=15).

Anyway, we were looking to add 'Modified By' and "Created By" to this page but unfortunately i really am not finding a way to do this without using PowerApps.

Does anyone know if this is possible? I did some googling and it doesn't look like this is possible but any confirmation will be great.

Sharepoint 2019 on prem crawl issue

Hey folks, hoping someone here may be able to supply me with a little guidance.

I have a sp2019 on prem server, just spun up. Four webapps, pretty basic setup. Single server setup, everything on one box. I am having an issue with my crawler, it won't crawl.

for each webapp, we are receiving the following error -

Item not crawled due to one of the following reasons: Preventive crawl rule; Specified content source hops/depth exceeded; URL has query string parameter; Required protocol handler not found; Preventive robots directive. ( This item was deleted because it was excluded by a crawl rule. )

I only have four crawl rules, one allow rule for each webapp (like https://site.contoso.com/\*) , so I don't think it's a preventitive crawl rule

In the past I have seen this error if I haven't added a robot.txt to a webapp (in fact here is a post I put up 2 years ago for this exact same issue!), but each webapp has a robot.txt file with the following in it

User-agent: MS Search 6.0 Robot

Disallow:

The sp2019 server is not behind a load balancer.

Any suggestions or help would be much appreciated!

Looking for how many hours a SharePoint dev / admin should spend on maintenance task for power automate and SharePoint online

Does anyone have a good way to measure these metrics or come up with an estimated amount of time for weekly tasks?

An example would be
SharePoint Online maintenance - 5 hours
Power automate maintenance - 1 hour

Any help would be awesome and thanks in advance!

Someone deleted my info

Hi friends,

Today I went to a Lists that I created weeks ago with dozens of rows. Someone deleted all my rows and deleted the versions before today. I believe this was on purpose and that it was someone from IT. Is there anyway I can recover the info and find out who did it? I'm fuming.

Can't open DOTM over SharePoint document library in Word

Hey Guys!

We want to distribute our company templates via sharepoint, but these have a small VBA script integrated which inserts user information via our API, which also works perfectly. Our document library was distributed via intune > office policy, everything is displayed perfectly.

But now when we try to open these templates we get the error that the included macros are blocked (understandable). We have also tried to add the document library to the Trusted Locations via the office policy and it is also displayed in the Trust Center, but this does not seem to work. Can't really get a proper answer to this problem from MS Support either

Maybe you can help me out :)

Approvals List, Approvers Issue

Hi, I have an approval list taken from the vacation approval tracker that is provided in sharepoint list templates, I have tailored this to my own requirements. When submitting an approval, the Approver(s) box auto fills when typing in an approver to everyone in my organisation, based on the first letter. Is there a way to limit this to specific people? SharePoint Online - How to manage users or assign permissions to users of another tenant.

Question: Can Multitenant collaboration in M365 admin center be able to resolve the issue below?

Here's the background.

My tenant and domain is wxy.com. My username is abc@wxy.com.

Here's the thing.

My company recently acquire xyz.com which is another tenant and domain.

We have no intention to merge both tenants into 1.

Below are what we are trying to achieve:

abc@wxy.com can currently administer i.e assign permissions for users in wxy.com and its sharepoint.

  1. Allow abc@wxy.com to administer i.e assign permissions for users in xyz.com and its sharepoint.

Note: At the moment, we need to create an unlicensed user in xyz.com and give it admin rights to do so. But we prefer to use solely abc@wxy.com to administer both tenants.

  1. When abc@wxy.com wants to assign permission to a user in xyz.com i.e bcd@xyz.com and tries to type bcd in the search field, the field should suggest the Full Name of bcd for clicking.

  2. abc@wxy.com is currently a licensed user of wxy.com tenant. When he assigns permission to bcd@xyz.com, system should send an email to notify bcd@xyz.com, even if abc@wxy.com is not licensed under xyz.com.

Can anyone propose the best method or way to achieve the above? Thanks.

"Send Email" greyed out and checked when adding guest user to SharePoint group. Will it or won't it send an email?

I've created a series of Document Libraries, each with their own SP group to limit external guests to being able to upload only. When I go to add the guest's email address to the group, the "Share Document Library" window comes up.

If I put in a guest email that already exists as a guest user in our Tenant I can choose whether or not to "Send an Email Invitation."

If the email address is not already a guest user, the option is greyed out, but checked.

Question is, does this force me to send an invitation, or is it not going to send an invitation? I sent a couple tests, and it seems to not send the email, but I am not positive.

Sharepoint List Showing Live Viewers

All of a sudden our sharepoint list that we use as a noticeboard on our intranet is showing all the live viewers when they click on the list item. It's showing their initials (similar to when you're editing a live document) this never previously occurred. Any help would be appreciated - I cannot see any settings

SharePoint Group owned MS Form failing to upload attachments

Hello Internet land. I have been tearing my hair out with this issue that cropped up recently and no surprise but Microsoft support has been zero help. I am hoping someone else may have some insight.

The scenario:
Multiple MS Forms that are owned by a SharePoint Team site. The forms have an upload file question which creates a folder in the default Documents library on the SharePoint site with the following breadcrumb. Documetns>Apps>Microsoft Forms>Form Name>Question Name. That is where it puts all files uploaded upon form submission.

The problem:
The SharePoint site had a mess of broken permissions and shared links and all sorts of nonsense of people not granting permissions properly. The owners asked to re-inherit all the broken permissions as an easy way of cleaning up all the permissions rather than going into each library, folder and document and setting up proper permission structure. Unfortunately, doing this broke the MS Form upload file function. It just says failed to upload. Breaking the inheritance on the Forms folder again does not fix the issue.

My ask of you wonderful smart Internet land
Does anyone know of a way to fix this rather than recreating the question/form itself? There are dozens of forms attached to the site as well as dozens of power automate workflows and power bi dashboards which means a ridiculous amount of work to re-engineer.

Sharepoint Pricing ang Limitations

I am a newbie in 365 apps such as Sharepoint and Powerapps. I know that Powerapps will only have an additional charge if you use the premium feature such as DataVerse, SQL, etc. How about Sharepoints? Is it free for licensed users within the company?

And is it capable of deploying it as a web-page wherein only the list is edited and they cannot view what the owners and members can view. I have been questioned about this since my member can see the edit page and can edit columns in a list.

Also, how would I capture the user's name or email that will be automatically inputted to Modify by or Created by column without using Power Automate?

back dating modified date on the sharepoint files

We have some items that were moved to SharePoint from network shares, I am looking to find an autoamated way to match the last modified date with file shares. I am not getting approval for using SMT or sharegate. waiting for approval on pnp module.

are there any other ways I can do it, maybe power automate or something.

Make sharepoint page templates easy for users to populate

Apologies in advance if I don't explain this well....

I'm trying to build a sharepoint site to function more or less as a wiki. To try to encourage adoption I want contributors, when creating content, to be able to use a page template that is very easy to use. So far templates I've tried retain the page creation experience of having to navigate all the clunky page sections and webparts. The couple of people I've had test them feel like it is difficult and annoying.

What I'd like to get to is a template that has more stable sections where people can type stuff in without all the "flashing and bouncing sections" that sharepoint page authoring normally entails. Make it more like filling out a form. Any ideas?

Full-width image gets poorly cropped in email on mobile

Hey, all -- please bear with me as I wasn't aware of Sharepoint's existence until a few months ago, but I'm doing my best to study up.

Here's the current dilemma: My company wants to send out a weekly newsletter. I built a news post in Sharepoint, thinking we could send the page via email each week, which higher-ups loved. While building, I discovered that instead of using a background image with the page title text over it, we could create a full-width image and use that at the top.

My coworker put a lot of work into designing the perfect one for us, and we were really excited to show it off in our debut issue... until a supervisor noticed that when she looks at the email on her phone, it cuts the image down to about the middle third and just has white space on either side. It looks fine on desktop, laptop, and even horizontal screens -- just not phones held upright.

I've tried resizing the image to see if it was a dimensions thing, but so far, no luck. I also tested to see if it being a page instead of a news post would fix it -- still cropped.

Is there a workaround? Is there a setting or rule I should check? I've scoured the "imaging and sizing" article on Microsoft support, but it doesn't even mention this section and nothing I've found on Google seems to have an answer.

Tool to change a share link on a file

Are there any tools that can take a file that is being copied to a new site and use the existing link that's been used to point to the location of the file on the new site?

I'm trying to do a large migration of some sharepoint sites that have loads of shared links that are in place on external systems so I would ideally like to not have to manually replace a lot of them.

I do realise as well what I am asking could be impossible too, just thought I would ask the question in case somebody knows of some 3rd party tool that can do it

Configure Sharepoint Online site to allow access only from a single external domain?

Apologies if this has been discussed before ....

I want to create a Sharepoint site in my Microsoft 365 Sharepoint instance that can be accessed by ANY user that is a member of another business’ Microsoft 365 tenant. I want to be able to provide that other business a link to the site and any of their users would have read-only access to the site using that link, given the user has authenticated with their tenant. I don’t want to have to invite each user individually. Is this possible? If so, how do I configure?

Anonymous users and users from other businesses would need to be blocked.

Of course, selected users in our my MS365 tenant would have write access to the site.
