Hello,
I have two questions:
1 - I would like to have a dashboard in SharePoint that would show all the shares
2 - I would like to output the rights tree for each library and folder on the site.
Is it possible and How ?

Making use of Microsoft Team (MT) Dual Security Model to ensure your Documents and IP are not lost forever.
Microsoft Teams (MT) is a great way to leave a colleague a message, then wait several days before you see a response. Unlike email, there’s no urgency to respond, so can put those company actives on hold for another day, especially easy if the number of active alerts is filled up with the latest dad jokes or picture of the family pets.
Were MT excels is in its ability to have audio and video meeting with other users and clients alike, granting you the ability to upload and Share documents between the individual team members and invited guests.
But what if you wanted to share the Content locked in a MT site with the whole of your department, division or even company?
MT file content is hidden from your Organization and Administrators and only available to the individual team members locking away the useful insights and any IP for all time.
In MT you can add individuals and even groups, however the groups are restricted to Office 365 Groups and Entra AD groups are not allowed.
Assigning Office 365 Groups to MT comes with risk.
If your allowing people to create their own planner boards or MT, then many of the groups are going to be repeated.
Here are 3 groups named “All Company”, can you tell me which one I should use in TM’s dropdown list? - I think the answer is probably none of them.
Look at the Group type and you’ll notice that only “Microsoft 365” groups are available to team, but you IT department maintains their organizational structure through “Security” group’s and these are not available…. or are they?
Unlocking the content hidden in Teams
Conversations in teams rarely contain IP or are of any real interest in the long term, they are kept and audited in case of a he said, she said incident occurs or there’s an issue of what was agreed as a deliverable, however the files shared with the teams are valuable, so let’s look out who they can be shared with a large audience.
Select a Channel and open the “Files” tab. A menu will appear and at the end of the menu you will see three ellipses “…”. Click to expand and Select “Open in SharePoint”.
Your Teams site will open the Underlying SharePoint site, where all the documents are stored. Click the members Icon in the top right and you’ll see a list of all the people listed in the Team. However SharePoint has its own security model and its supports traditional style AD Security Group as well as the new Office365 Groups.
Using the Cog, Workshop Wheel, Flower Icon (what every you call it ), Click to expand the menu and select “Site Permissions”. On the Permissions menu skip to the end and select “Advanced permissions settings”.
You’ll see a SharePoint Administrative screen displaying 3 Groups: Site Member, Sites Owners and Site Visitors. I want to grant Read access to “Sales and Marketing” and “Administrator Groups”. Select the Visitors Group, then menu option for New - Add Users
As you enter the name of a security group the dialog box it should start to filter the list of available matches. Here I am showing two groups that match the keyword for Admin. The first group display’s an email address on hover denoting it’s a Office365 group (more often than not), whilst the second Group shows a Tenant ID which is the non Offic365 group or AD Group maintained by IT.
By assigning Read access in this way you will make the documents in the team’s sites available to the members of the groups you assigned through the Search Engine unlocked the knowledge held within.
NOTE: With Private channels, the ability to Add users through SharePoint has been removed from the UI and I’ve found away around it, but this involves a process that will be remove in 2026 by Microsoft, and I think it’s a good thing for you HR team to believe their records cannot be accessed the Admins’ in the company.

1 External user visits the folder, or whatever - but in order to do that they also will receive an OTP.
2. This mail with the OTP is also in our local language.
How do I change the language of
A) The mail when you share something from a SharePoint site? The mail is sent from the user who shares the folder/file (Get-MailboxRegionalConfiguration says Language: English on the user who shares) but the mail that is getting sent is on our local language.
B) The OTP mail, when accessing a shared file/folder is sent by a MS adress and is in our local language. Can this be changed?

Hi, sharepoint newbie here.
A client sends me images that I need to download on my server (without a browser - from a http request in my code)
The links I get look like this: https://{{companie}}.sharepoint.com/:i:/g/personal/{{project}}/{{id1}}?e={{id2}}
If I append &download=1 at the end, my server manages to download the link.
So far, super happy :)
The issue Im having is that for some other images, it doesnt work. The original link works, Im able to see the image in a browser, but same link with &download=1 fails (Something went wrong. This is a temporary issue, so try again in a few minutes. Technical details: Ref A: 5C0FF745F138450EBE35717579D66B77 Ref B: FRA231050413039 Ref C: 2024-10-31T16:33:36Z) But waiting a few minutes doesn't help, always the same images but working.
My client tells me that he just clicks on the 3 dots near the files and does copy link without changing the settings.
Is there a way to understand why is that? Is there a way that he can generate the links to ensure that I will be able to download the images?

I'm migrating a list from SP2016 to SP Online. The list has 8000 items currently, but SPO is telling me the list view threshold is 5000. I ran into this limit in SP2016 a while back but was able to increase it to 10,000. Is it true I cannot increase the list view threshold in SPO? If so, what are my options for migrating this list to SPO? I don't have the option of breaking it into two lists at the moment. Is there anyway I can get an 8000-item list into SharePoint Online? and have it viewable as one list?
Does SharePoint Online have an audit trail of user and/or admin actions? If I wanted to see if a document library was deleted (or its contents deleted) going back as far as possible, would that be possible? I've checked old backups and haven't found what found what I'm looking for.
I need to find in our intranet all site pages where users have added OneDrive links in them and then we will try to replace them. How can I do it, how to make such report?
Is it possible also to replace them somehow with PowerShell if we would have data prepared?
Hello experts,
I am wondering whether anyone has been facing issue with external users using MSA when connecting to sharepoint folders shared with them.
We are using sharepoint to share some business documents with external parties. I have enabled "MS Entra B2B integration for Sharepoint and Onedrive" and it works fine for external users with MS Entra accounts, or non-MS accounts.
However, I am facing issues when external users do not have corporate MS account and they have any other type of MS Account. From what I've found so far, it is related to MS Live account, Outlook.com, Hotmail.com etc... These users are requested to provide MS Credentials (as some of them may have created these accounts in past, they are not even aware of their MS account).
Now, I have tried to disable MSA in MS Entra > External Identities, but it is not possible to disable it.
Anyone facing this as well? Any workaround?

A file can be deleted if it has not been accessed in (example) over 4 years or something.

Starting a few days ago, myself, colleague and a few people that work with us can no longer save directly to our main sharepoint sites direct from word/excel because they simply aren't appearing.
We confirmed in browser we are still following the site, have correct permissions etc. But just don't have the option when going save to click on said sites. Other sites are appearing fine in our save list frustratingly.
have tried:
Clearing office cache
unfollow/refollow sites
confirm permissions correct in sharepoint admin
other persons pc who had same issue... only the sites they regularly work in.
Resync from sharepoint.
Nothing is working.
workaround has been to pin from recent folders.
SPO search is acting wonky, but since this is a new build, I'm unsure if it's a configuration issue, or a bug:
Using the search bar provides several result "previews" successfully, but hitting "enter" or clicking "Show more results" produces a blank results page with "Something went wrong" on it.
Anyone else experiencing this?
Setting up sp for work & i need to figure out how to invite external guests not in our workspace to enable them to download documents from our shared folders via sharepoint. at the moment this is not permitted.
would it be an access issue only authorised through or IT folk that run our account?
i am thinking its a permission problem.

I'm working with a client who has one central site, (it's a small organization), with lots of document libraries under it.
They want security trimming turned on for the navigation links to the libraries, but they don't have publishing turned on.
The crazy thing is that it looks kind of like they have security trimming happening, but it's not 100%. I can look at one user, who only sees 5 out of 10 libraries, and sure enough she doesn't have access to the 5 missing ones. The problem is that she doesn't have access to 3 of the 5 she can see.
I can look at the next user, who sees 4 out of 10, and 2 of the 4 she sees if she clicks on the links she gets an error message saying she doesn't have access to that library.
I've verified that publishing is not turned on, so I'm not sure how this is happening.
I read some comment somewhere that said Trimming happens automatically if you "promote" a page to navigation, but I have no idea what that means, and google isn't helping.
Any help would be appreciated.
For a customer of ours we archived one of their older Sharepoint sites using Microsoft 365 Archive. The site is visible in the Sharepoint admin center under the archived sites.
We now want to test if the site is browsable but we can't seem to find a place to do so. To be clear: we want to see what's in the site, not opening the files. We know we have to activate the site again to open the files.
The reason we want to check is because Microsoft explicitly says it's possible in their learn page:

How do I create a list with different classes/courses that multiple users can sign-up to?
Each sign-up needs to be approved or denied manually...
When I right-click a file, I have a huge list of options, (18 not including the hover-over that gives you more) and a fellow site owner only has 8. She is missing important options to like Move to, Copy to, Version History, Favorite, etc. Any help would be great! I imagine there is some setting I have to turn on to give people these types of controls.
Note: I am Global admin, fellow site owner is not.
So I have an excel file, which I need to save as an excel with macros allowed file. But this is really unconvenient, because we've shared the link of the old file (which still exist, with other name), to multiple processes.
Is there a way to redirect this links to the new file?

Hi guys, I have created a PMP share point search for my company. However, I’ve realised the PnP search box, results and filters will sporadically disappear. People open the page link and then my features aren’t showing. I have to show the search off to senior members of my department later on today, so any help would be appreciated. if you would like any pictures of this please DM me.
EDIT: Forgot to add, is it possible this is due to the fact that the page in which the search features aren’t showing is a power automated copy of the original page (which is on another site)?

I want users to be able to connect their smartphone to laptop with usb, the upload multiple images to sharepoint (or powerapps document upload) But it says its not possible to upload multiple items from there, is this normal? Selecting multiple files from laptop storage works without problems.

So I think I will need to overhaul our company’s SharePoint library, and want to take with metadata to make the search work. What is the current think when it comes to creating documents libraries?
For example we have a sales, finance, it, and operations departments and I was wondering whether I would be better off creating one library for all departments or have separate ones for each department.
Can I have your thoughts, particularly when it comes to how to use copilot to provide information based on these libraries, as I’ve just started playing with it. Is copilot sophisticated enough to be able to read inside each document or does it go off the metadata?
Hey all, I have several document libraries on various sites that have managed metadata columns and need to find a desktop scanning application that will display the values to end users and write the managed metadata terms back to SPO. Does anyone here know of any scan companies that can do this?
Hope someone can help with this, it’s been driving me a bit mad today. I’ve got created some content types and associated a template to it. The content types was then assigned to a specific document library.
The issue appeared today, after working fine for a couple of days. When I create a new document from the library, make the necessary amendments, and the proceed to either save or close, the following happens:
I’ve ran into a couple of issues whereby when the template has opened it states that there’s a new version on the server. The problem is that I cannot locate where they are stored to check and see if there are multiple copies of the same document being stored.
Is there a way in SharePoint without using some type of automation when copying a folder that has subfolders in it to duplicate it? I hope that even makes sense. Trying to avoid copying the same thing over to rename it and seeing if there's a way to copy it up to 50 times at once?
Requesting a new SharePoint in a company is often bureaucratic and time consuming providing lots of justification. So is there an easier way?
Can you create your own SharePoint site without the need for Admin or IT. This trick works on any Office365 Tenant and it a back door which very few Organizations have implemented
So how do you create your own SharePoint site.
Step 1- Formulate a Plan, what I mean is actually create a Microsoft Planner Plan
When you create a Plan, you actually create a Office 365 group backed with a SharePoint site.
Take special note of the plan name. Here I am creating a Plan entitled “Stick_in_to_the_Man”
Step 2 – Open your plan in SharePoint. Open a new tab in your browser and enter your https:{tenantName}.sharepoint.com/sites/{PlanTitle}, replacing the bracketed keywords with your own information. In my case:

Step3 – Convert it to Microsoft Teams. Check the dialog button in the bottom left of the SharePoint sites and click the “Add to Teams” button.
I am surprised how many companies and even SharePoint Consultants have failed to understand the relationship between Teams and SharePoint, but even less know about the relationship with Planner.

If you lock down the ability to create new plans, it does not stop you creating new plans on existing sites that you already have access to. It just stops the never ending sprawl of SharePoint sites getting larger by adding a little control.
